Introduction

Your privacy is very important to me, you can be confident that your personal information will be kept safe and secure and will only be used for the purpose it was given to me. I adhere to current data protection legislation, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications (EC Directive) Regulations 2003.

This privacy notice tells you what I will do with your personal information when an initial contact is made and through our time working together, as well as what I will do with your personal information if our time working together comes to a conclusion, including:

• Why I am able to process your information and what purpose I am processing it for

• Whether you have to provide it to me

• How long I store it for

• Whether there are other recipients of your personal information

• Your data protection rights.

‘Data controller’ is the term used to describe the person/ organisation that collects and stores and has responsibility for people’s personal data. In this instance, the data controller is Andy Jackson.

mendeleev cmc is registered with the Information Commissioner’s Office (ICO) under registration number ZC157329. 

Clients have a right to complain to the ICO if they think there is a problem with the way mendeleev cmc is handling their data.

My lawful basis for holding and using your personal information

The GDPR states that I must have a lawful basis for processing your personal data. There are different lawful grounds depending on the stage at which I am processing your data. I have explained these below:

If we have been working together and this has now come to a conclusion, I will use legitimate interest as my lawful basis for holding and using your personal information.

If we are currently working together or if you are in contact with me to consider engaging my services, I will process your personal data where it is necessary for carrying out our work together.

I do not intend to process any data in the GDPR category of “special category personal information” this type of sensitive personal information, for example detailed health information, is typically used by health professionals but is not something that I will record or store. 

How I use your information 

Initial enquiry and conversation. 

When you contact me to request a conversation about my services I will collect information to help me satisfy your enquiry. This will include name, email address, address, phone number and any particular areas of focus.

If you decide not to proceed I will ensure all your personal data is deleted within two weeks. If you would like me to delete this information more quickly please let me know.

While you are accessing my services.

Rest assured that everything you discuss with me is confidential. That confidentiality will only be broken if you reveal information to me about a serious crime, a safeguarding concern or where there is an immediate risk to your own safety and wellbeing. I will always try to speak to you about this first, unless there are safeguarding issues that prevent this.

I will keep a record of your personal details to help our work together to run smoothly. These details are kept electronically in a secure cloud-based system with multifactor authentication and are not shared with any third party (apart from HMRC for tax purposes, the International Coaching Federation for professional accreditation purposes or my insurance company in the event of a claim).

For coaching and mentoring work I will keep brief electronic notes of each session to facilitate subsequent sessions, these will also be kept electronically in a secure cloud-based system with multifactor authentication. Any email correspondence will be deleted annually in August with pertinent information being copied in year to the secure electronic notes on a rolling basis.

For consultancy work I will keep electronic notes, and drafts of reports and presentations such that are needed to facilitate the work that I have been engaged to undertake. These details are kept electronically in a secure cloud-based system with multifactor authentication and are not shared with any third party (apart from HMRC for tax purposes, or my insurance company in the event of a claim).

After our work has come to a conclusion.

Once our work together has come to a conclusion your records will be kept for 7 years in accordance with my insurance policy and so that re-engagements can be easily made if the client wishes; they will then be permanently deleted. If you want me to delete your information sooner than this, please tell me.

Your rights

I try to be as open as I can be in terms of giving people access to their personal information. You have a right to ask me to delete your personal information, to limit how I use your personal information, or to stop processing your personal information. You also have a right to ask for a copy of any information that I hold about you and to object to the use of your personal data in some circumstances. If I do hold information about you I will:

• give you a description of it and where it came from

• tell you why I am holding it, how long I will store your data and how I made this decision

• tell you who it could be disclosed to 

• let you have a copy of the information in an intelligible form.

Data security

I take the security of the data I hold about you very seriously and as such I take every effort to make sure it is kept secure. All data are kept electronically in a secure cloud-based system with multifactor authentication and are not shared with any third party (apart from HMRC for tax purposes, the International Coaching Federation for professional accreditation purposes or my insurance company in the event of a claim). Clients have the right to be informed of any personal data breaches.  This will be done within 72 hours and will be recorded.
